Cancellation & Refund Policy

At Leicester Travel & Tours, we understand that travel plans can sometimes change. This Cancellation & Refund Policy explains the circumstances under which cancellations may be made and whether refunds are available.

By confirming a booking with Leicester Travel & Tours, you agree to the terms outlined below.

1. General Policy

Cancellation requests must be submitted directly to Leicester Travel & Tours through our official communication channels. The date on which we receive your cancellation request will be used to determine any applicable refund.

Refund eligibility varies depending on the type of tour booked and the timing of the cancellation.

2. Day Excursions and Day Trips

All bookings for day trips and single-day excursions are considered final once confirmed.

As operational costs are incurred immediately upon booking, no refunds will be issued for:

  • Customer cancellations
  • Failure to attend the departure point
  • Late arrivals resulting in missed departures
  • Voluntary withdrawal from the tour

3. Domestic Overnight Tours

For overnight tours within the United Kingdom:

  • Cancellation received 14 days or more before departure – eligible for a 50% refund
  • Cancellation received less than 14 days before departureno refund available

4. International Tours

For international travel packages:

  • Cancellation received 14 days or more before departure – eligible for a 50% refund
  • Cancellation received less than 14 days before departureno refund available

5. Special Events, Private Tours and Custom Packages

Certain tours may involve limited availability, advance supplier commitments, or customised arrangements.

For these bookings:

  • Cancellation received 14 days or more before departure – eligible for a 50% refund
  • Cancellation received less than 14 days before departureno refund available

6. How Cancellation Deadlines Are Calculated

All cancellation periods are calculated using the scheduled departure date of the tour.

The booking date does not affect the cancellation window or refund eligibility.

7. Cancellation by Leicester Travel & Tours

In exceptional circumstances, Leicester Travel & Tours may need to cancel a tour before departure.

Reasons may include:

  • Insufficient passenger numbers
  • Adverse weather conditions
  • Health and safety concerns
  • Government restrictions or travel advisories
  • Operational difficulties
  • Circumstances beyond our reasonable control

Where we cancel a tour, customers will be offered a full refund of monies paid for the affected booking.

No additional compensation, consequential losses, accommodation costs, travel expenses, or other claims shall be payable.

8. Removal from a Tour

Leicester Travel & Tours reserves the right to remove a participant from a tour where their behaviour:

  • Puts others at risk
  • Causes disruption to the group
  • Breaches safety requirements
  • Violates our Terms & Conditions

Any traveller removed from a tour for these reasons will not be entitled to a refund, whether partial or full.

9. Refusal of Entry

Refunds will not be granted where a traveller is unable to participate in part or all of a trip due to:

  • Invalid or missing travel documentation
  • Visa or immigration issues
  • Legal restrictions
  • Personal misconduct
  • Refusal of entry by authorities or venue operators
  • Existing bans or restrictions imposed by third parties

Travellers are responsible for ensuring they meet all travel and entry requirements before departure.

10. Unused Travel Services

Once a tour has commenced, no refunds will be provided for services that are not used, including but not limited to:

  • Transportation
  • Accommodation
  • Meals
  • Excursions
  • Attraction visits
  • Optional activities included within the package

11. Refund Procedure

Where a refund has been approved:

  • Payment will be returned using the original payment method where possible or via bank transfer.
  • Customers may be asked to provide verification details before processing.
  • Refunds are normally processed within 7 to 14 business days from approval.

Processing times may vary depending on banks and payment providers.

12. Force Majeure Events

Leicester Travel & Tours shall not be liable for losses, delays, interruptions, or additional expenses caused by events beyond our reasonable control, including:

  • Natural disasters
  • Severe weather
  • Pandemics or public health emergencies
  • Government actions or travel restrictions
  • Industrial action or strikes
  • Civil unrest
  • Acts of terrorism
  • Other force majeure events

Refunds in such circumstances will be assessed in accordance with supplier terms and any recoverable costs.

13. Policy Amendments

Leicester Travel & Tours reserves the right to modify this Cancellation & Refund Policy from time to time.

Any changes will apply to future bookings. Existing bookings will remain subject to the policy version that was in effect at the time the reservation was confirmed.
