These Terms & Conditions govern the booking and participation in tours, excursions, travel packages, and related services offered by Leicester Travel & Tours (“the Company”, “we”, “our”, or “us”). By making a reservation with Leicester Travel & Tours, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
1. Scope of Services
Leicester Travel & Tours provides a range of travel experiences, including day excursions, short breaks, domestic tours, and international travel packages. These Terms apply to all bookings unless otherwise agreed in writing.
2. Reservations and Confirmation
- All bookings are subject to availability.
- A reservation is considered confirmed only after the required payment has been received and accepted by Leicester Travel & Tours.
- Confirmation details, itineraries, and travel information will be provided through our official communication channels, including email, SMS, or messaging applications.
3. Booking Requirements
- The lead passenger making a booking must be at least 18 years of age.
- Anyone booking on behalf of others confirms that all travellers accept and agree to these Terms & Conditions.
4. Pricing and Payment
- All prices are displayed in Pound Sterling (GBP) unless stated otherwise.
- Prices may be adjusted due to increases in taxes, transportation costs, supplier charges, exchange rate fluctuations, or other operational expenses.
- Any additional charges arising before departure must be settled prior to travel.
- Accepted payment methods will be communicated during the booking process.
5. What’s Included and What’s Not
Only the services specifically listed within the confirmed itinerary are included in the package price.
Unless expressly stated, the following are generally excluded:
- Personal expenses
- Optional activities
- Attraction entry fees
- Meals and beverages not listed in the itinerary
- Travel insurance
- Gratuities and tips
Travellers should not assume any service is included unless clearly stated.
6. Traveller Responsibilities
Passengers are responsible for:
- Carrying valid identification, visas, passports, and travel documents where required
- Following instructions issued by tour representatives, drivers, guides, and local authorities
- Ensuring the safety and security of their personal belongings
Leicester Travel & Tours accepts no responsibility for lost, stolen, or damaged personal property.
7. Conduct During Travel
All guests are expected to behave respectfully and responsibly throughout the journey.
We reserve the right to refuse participation or remove any traveller whose behaviour:
- Endangers others
- Causes disruption to the group
- Violates safety regulations
- Harasses staff or fellow travellers
- Involves illegal or prohibited substances
Any traveller removed for misconduct will not be entitled to compensation or a refund.
8. Departure Times and Meeting Points
- Travellers must arrive at designated collection points before the stated departure time.
- Transport services will operate according to schedule and cannot be delayed for late arrivals.
- Missed departures due to lateness are the traveller’s responsibility and are not eligible for refunds.
We are not liable for delays caused by circumstances beyond our control, including traffic conditions, road closures, weather events, or transportation disruptions.
9. Changes to Travel Plans
In certain situations, it may be necessary to alter elements of a tour, including routes, timings, accommodations, attractions, or transportation arrangements.
Such changes may occur due to:
- Weather conditions
- Safety concerns
- Operational requirements
- Government directives
- Supplier availability
- Other unforeseen circumstances
Reasonable alternatives will be provided where possible.
10. Tour Cancellation by Leicester Travel & Tours
We reserve the right to cancel a tour before departure where necessary, including but not limited to:
- Insufficient participant numbers
- Safety concerns
- Operational issues
- Government restrictions
- Severe weather conditions
- Circumstances beyond our reasonable control
Where a tour is cancelled by us, customers will receive a refund of payments made for the affected booking. No further compensation shall be payable.
11. Vehicle or Transport Failure
In the unlikely event that a vehicle breakdown or transport failure prevents the continuation of the tour and no suitable alternative can be arranged, a refund may be issued at our discretion based on the unused portion of the service.
12. Seating Arrangements
Seat allocation may be assigned according to booking order, operational requirements, or vehicle layout.
Leicester Travel & Tours reserves the right to modify seating arrangements where necessary.
13. Children and Minors
Children must be accompanied and supervised by a parent, guardian, or responsible adult at all times.
The supervising adult remains fully responsible for the child’s welfare, conduct, and safety throughout the trip.
14. Damage to Property
Any traveller responsible for damage to vehicles, accommodation, facilities, equipment, or third-party property may be held liable for repair or replacement costs.
15. Third-Party Providers
Many travel services are supplied by independent providers, including:
- Hotels
- Airlines
- Coach operators
- Restaurants
- Tourist attractions
While we carefully select our partners, Leicester Travel & Tours is not responsible for service interruptions, delays, omissions, or failures caused by third-party providers.
16. Travel Insurance
Travel insurance is not included unless specifically stated.
We strongly recommend that all travellers obtain suitable travel, medical, cancellation, and personal belongings insurance before departure.
17. Assumption of Travel Risks
Participation in travel activities carries inherent risks.
By joining a tour, travellers acknowledge and accept these risks, including those associated with transportation, outdoor activities, weather conditions, and destination-specific circumstances.
Nothing within these Terms excludes liability where exclusion is prohibited by applicable law.
18. Health, Medical Conditions and Medication
Travellers are responsible for ensuring they are medically fit to travel.
Passengers should:
- Carry all required medication
- Inform us of any significant medical condition that may affect participation
- Ensure adequate medication supplies for the duration of the trip
Leicester Travel & Tours does not provide medical treatment or prescription medication.
19. Dietary Requirements and Allergies
Travellers with allergies, intolerances, or special dietary requirements should notify us as early as possible.
Although requests may be communicated to suppliers, we cannot guarantee that all dietary requirements can be accommodated.
Passengers remain responsible for verifying food suitability before consumption.
20. Cancellation by the Customer
Day Trips
- All bookings are non-refundable once confirmed.
Overnight Tours (Domestic & International)
- Cancellation more than 14 days before departure: 75% refund
- Cancellation within 14 days of departure: No refund
Special Event Tours and Custom Packages
- Cancellation more than 14 days before departure: 75% refund
- Cancellation within 14 days of departure: No refund
Applicable cancellation terms are those in effect at the time the booking is made.
21. Entry Restrictions and Refusals
Leicester Travel & Tours shall not be responsible if a traveller is refused entry to a venue, attraction, accommodation, transport service, or country due to:
- Missing documentation
- Visa issues
- Personal conduct
- Legal restrictions
- Existing bans or entry prohibitions
No refund or compensation will be payable in such cases.
22. Refund Processing
Where a refund is approved:
- Payments will be returned to the original payer where possible.
- Processing may take between 7 and 14 business days following verification of required information.
- Processing times may vary depending on financial institutions.
23. Events Beyond Our Control
Leicester Travel & Tours shall not be liable for disruptions, cancellations, losses, or delays arising from events beyond our reasonable control, including:
- Natural disasters
- Severe weather
- Public health emergencies
- Government actions or travel restrictions
- Industrial disputes
- Civil unrest
- Acts of terrorism
- Other force majeure events
24. Complaints Procedure
Any concerns should be raised with the tour representative during the trip whenever possible, allowing us an opportunity to resolve the issue promptly.
Formal complaints must be submitted in writing within seven (7) days following completion of the tour.
25. Governing Law
These Terms & Conditions shall be governed and interpreted in accordance with the laws of England and Wales.
Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
26. Agreement to These Terms
By completing a booking with Leicester Travel & Tours, you confirm that you have read, understood, and accepted these Terms & Conditions in full.
